Privacy Policy

WR-Games is operated by WR Inc. ("WR-Games," "we," "us," or "our"). This Privacy Policy explains how we collect, use, share, and protect information about you when you use our website, platform, and services at wr-games.com (collectively, the "Platform").
By using the Platform, you agree to the collection and use of information as described in this policy. If you do not agree, please do not use the Platform.
1. Information We Collect
We collect information in three ways: directly from you, automatically when you use the Platform, and from third-party services you choose to connect.
Information You Provide
When you create an account, join groups, RSVP to events, or use our features, you may provide:
- Account information — name, email address, password, and city (city is required at registration)
- Profile information — display name, bio, avatar or uploaded photo, profile slug
- BoardGameGeek username — if you choose to sync your BGG collection
- Board Game Arena (BGA) username — if you add it in Settings to support imports and matching; same optional integration use as BGG
- Phone number — optional. We send SMS only for product notifications you opt into in Settings (for example, Roll Call for events you RSVP to). We verify your number before using it. We do not share or display your number publicly. You can clear it in Settings. You may text STOP to opt out of further SMS; standard message and data rates may apply. After STOP, carriers may block our messages until you text START to the same number, in addition to any in-app preference.
- Game collections and favorites — games you own, want to play, or have hearted
- Event activity — RSVPs, waitlist entries, attendance, reviews, kudos, and discussion posts
- Group activity — memberships, forum posts, chat messages, poll responses, schedule finder entries
- Messages — direct messages you send to other members
- Payment information — processed securely through Stripe. We do not store your credit card number.
- Support requests — any information you provide when contacting us
Information Collected Automatically
When you use the Platform, we automatically collect:
- Usage data — pages visited, features used, actions taken, timestamps
- Device and browser information — browser type, operating system, screen size, IP address
- Location data — approximate location based on your city selection and IP address. We do not collect precise GPS location.
- Cookies — authentication session cookies (Supabase) and analytics cookies (PostHog). See Section 5 for details.
Information From Third-Party Services
If you connect third-party accounts, we may receive limited information from those services:
- BoardGameGeek — your game collection, ratings, and status flags when you initiate a sync
- Google Places — city and venue location data used for search and discovery (no personal data is sent to Google)
2. How We Use Your Information
We use the information we collect to:
- Provide and operate the Platform — account creation, event management, group tools, RSVP processing, waitlist management, and all core features
- Personalize your experience — recommendations, nearby events and groups, game suggestions based on your collection and favorites
- Communicate with you — transactional emails (RSVP confirmations, event updates, group announcements, Roll Call notifications), account-related notices, and system alerts
- Improve the Platform — analyze usage patterns, monitor performance, fix errors, and develop new features
- Maintain trust and safety — calculate reputation and trust scores based on attendance behavior, detect abuse, enforce community guidelines, and process reports
- Process payments — manage subscriptions, event credits, and billing through Stripe
We do not use your information to serve third-party advertisements. We do not sell your personal information.
3. How Do We Share Your Information?
With Other Members
When you use the Platform, certain information is visible to other members depending on your privacy settings and group configurations:
- Your profile — display name, avatar, bio, city, and stats are visible on your public profile. You control visibility of your reputation, trust score, activity history, groups, and collection through your privacy settings.
- Event participation — when you RSVP to an event, other attendees and the event host can see your name. Hosts may see additional trust and attendance information depending on their subscription plan.
- Group membership — your membership in public groups is visible. Private and hidden group memberships are restricted to group members only.
- User-generated content — forum posts, event comments, reviews, and chat messages are visible to the intended audience (group members, event attendees, or the public depending on the context and group settings).
- Direct messages — visible only to you and the recipient. Recipients can mute or block conversations.
With Service Providers
We work with trusted third-party services to operate the Platform. These providers process your information only as needed to perform their services:

For Legal Reasons
We may disclose your information if required to:
- Comply with applicable law, regulation, or legal process
- Protect the rights, property, or safety of WR-Games, our users, or the public
- Detect, prevent, or address fraud, abuse, or security issues
- Enforce our Terms of Service
Business Transfers
If WR Inc. is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. We will notify you of any such change.
We Do Not Sell Your Data
WR-Games does not sell, rent, or trade your personal information to third parties for their marketing purposes.
4. How Long Do We Store Your Information?
We retain your information for as long as your account is active and as needed to provide our services.
If you delete your account, we will remove your personal information in accordance with our standard procedures. Some information may be retained for a limited period for security, legal, or operational purposes (such as fraud prevention, dispute resolution, or compliance with legal obligations).
User-generated content (forum posts, event comments, reviews) may remain visible after account deletion in certain contexts where it has been contributed to shared community spaces.
5. Cookies and Tracking
We use a limited number of cookies to operate the Platform:
- Authentication cookies (Supabase) — essential for keeping you signed in. These are required for the Platform to function.
- Analytics cookies (PostHog) — help us understand how the Platform is used so we can improve it. These collect anonymous usage data.
We do not use advertising cookies. We do not use third-party tracking for ad targeting.

6. What Are My Rights?
You have the right to:
- Access your information — view your profile, settings, and activity on the Platform
- Correct your information — update your profile, account settings, and preferences at any time
- Delete your information — delete your account through your account settings. This will remove your personal data in accordance with our retention policy.
- Control your visibility — adjust privacy settings for your reputation, trust score, activity, groups, and collection
- Manage email preferences — control which notifications and emails you receive from the Platform and from individual groups
- Block other users — block members to prevent direct messages and limit profile visibility

7. What About Children?
The Platform is not intended for anyone under the age of 18. We do not knowingly collect personal information from children under 18. If we learn that we have collected information from a child under 18, we will promptly delete it. If you believe a minor may have created an account, please contact us.
8. California Privacy Rights
If you are a California resident, you have certain rights under the California Consumer Privacy Act (CCPA), including the right to request access to, deletion of, and information about the categories of personal information we collect and how we use it.

9. Information for Users in the European Economic Area and United Kingdom
If you are located in the EEA or UK, you have additional rights under the General Data Protection Regulation (GDPR).
Legal Basis for Processing
We process your personal information based on the following legal grounds:
- Contract — to provide our services as described in our Terms of Service, including account management, event participation, and group features
- Legitimate interests — to improve the Platform, ensure security, prevent fraud, calculate trust and reputation scores, and analyze usage patterns, where these interests do not override your privacy rights
- Consent — for analytics cookies and optional communications. You can withdraw consent at any time.
- Legal obligations — to comply with applicable laws and regulations
Your GDPR Rights
In addition to the rights listed in Section 6, you have the right to:
- Request restriction of processing of your personal information
- Request portability of your personal information in a structured, machine-readable format
- Object to processing of your personal information based on legitimate interests
- Lodge a complaint with your local data protection authority
Data Transfers
WR-Games is based in the United States. If you are located outside the US, your information will be transferred to and processed in the United States. By using the Platform, you consent to this transfer. We take appropriate measures to protect your information in accordance with this Privacy Policy.

10. Information for Canadian Residents
If you are a Canadian resident, you have rights under the Personal Information Protection and Electronic Documents Act (PIPEDA), including the right to request access to, correction of, and deletion of your personal information.
Before we share your information with a third-party service provider, that provider must agree to handle your information only as we direct and to protect it to at least the same standard as we do.

11. United States Focus
WR-Games primarily operates in and serves users in the United States. Our data practices, privacy protections, and legal obligations are designed to comply with applicable US federal and state laws, including the California Consumer Privacy Act (CCPA).
If you access the Platform from outside the United States, please be aware that your information will be transferred to, stored, and processed in the United States. While we take measures to protect your information, US data protection laws may differ from those in your jurisdiction. By using the Platform, you consent to this transfer and processing.
We currently do not have a designated representative in the European Union or United Kingdom. If demand warrants, we will establish appropriate data protection contacts for international users.
12. Changes to This Policy
We may update this Privacy Policy from time to time. When we make changes, we will update the effective date at the top of this page. For significant changes, we may notify you through the Platform or by email. Your continued use of the Platform after changes are posted constitutes your acceptance of the updated policy.
